Terms of service

These terms form the agreement between you and Sifotech UK Ltd when you use BahiKhata. Please read them carefully — especially the AI disclaimer and the limitation of liability.

1. Definitions

  • “BahiKhata”, “the Service” — the BahiKhata web application, mobile interfaces, AI assistant and supporting APIs operated at bahikhata.co.uk.
  • “We”, “us”, “Sifotech” — Sifotech UK Ltd, registered in England & Wales (registered office and company number listed in our privacy policy).
  • “You”, “Customer” — the individual or business that creates an account and accepts these terms.
  • “Customer Data” — any data, file or content you upload, generate or store within the Service, including bookkeeping records, receipts and invoices.
  • “Subscription” — the paid plan you select, billed monthly or annually.

2. Account & use

You must be at least 18 years old and legally able to enter into a binding contract. You’re responsible for keeping your login credentials safe and for everything that happens under your account.

You confirm that any company you add to BahiKhata is one you’re authorised to administer. If you invite a teammate, accountant or advisor, you’re responsible for their use of the Service.

We may suspend access immediately if we reasonably believe an account is being used for fraud, money laundering, or any activity that breaches UK law.

3. Subscription, billing & refunds

  • Trial — paid plans include a 30-day free trial unless explicitly stated otherwise. No card is required to start the trial.
  • Billing — subscriptions auto-renew at the end of each billing period. Monthly plans renew monthly, annual plans renew annually. Prices exclude VAT, which is added at the prevailing UK rate where applicable.
  • Price changes— we’ll give you at least 30 days’ notice by email before any price change takes effect on your renewal.
  • Refunds — monthly subscriptions are non-refundable; you keep access until the end of the period you paid for. Annual subscriptions can be cancelled at any time and we’ll refund the remaining unused months on a pro-rata basis.
  • Failed payments — if a charge fails, we retry three times over seven days. Persistent failure suspends the paid features but your data remains accessible on the Free Forever tier (subject to its limits).

4. Acceptable use

You agree not to:

  • Scrape, crawl, mirror, or otherwise extract the Service except through the export tools we provide.
  • Resell, sublicense, white-label, or commercially redistribute the Service without a written agreement with us.
  • Reverse engineer, attempt to bypass rate limits, or probe the Service for vulnerabilities outside any disclosed bug-bounty scope.
  • Upload content that’s unlawful, defamatory, infringing, obscene, or that contains malware.
  • Use the Service to record, hide or facilitate fraud, money laundering or tax evasion.

5. Intellectual property

Our IP

We own the BahiKhata platform, software, designs, branding, AI prompts and underlying code. These terms grant you a limited, non-exclusive, non-transferable right to use the Service while your subscription is active.

Your data

You own your Customer Data. You grant us a non-exclusive, royalty-free licence to host, process, transmit and display Customer Data strictly to deliver and improve the Service for you. We do not use your Customer Data to train any third-party AI model.

Feedback

If you send us suggestions or feature ideas, we may use them freely without obligation, but we’ll never identify you publicly without permission.

6. AI disclaimer

BahiKhata includes AI features (the “AI Accountant”) that draft VAT returns, suggest categorisations, summarise receipts and answer questions in plain language. The AI is guidance, not regulated tax or legal advice. It can be wrong. You — the director, sole trader or appointed agent — remain solely responsible for the accuracy and timeliness of any filing made with HMRC, Companies House or any other authority.

We strongly recommend reviewing AI-generated outputs with a qualified UK accountant before submission. Sifotech UK Ltd is not a regulated accountancy firm and does not provide regulated financial advice.

7. Service availability & support

We aim for high availability but don’t guarantee uninterrupted service. We may schedule maintenance windows, deploy updates or temporarily restrict features to protect the platform. For Pro and Director Plus we aim to acknowledge support emails within one UK business day.

8. Limitation of liability

Nothing in these terms limits liability for death or personal injury caused by negligence, fraud, fraudulent misrepresentation, or any other liability that cannot be excluded under UK law.

Subject to that:

  • We are not liable for indirect, incidental, special or consequential losses, lost profits, lost revenue, lost data, lost opportunity or loss of goodwill, even if foreseeable.
  • Our aggregate liability for all claims under or in connection with these terms is capped at the total subscription fees you have paid us in the twelve (12) months immediately preceding the event giving rise to the claim.
  • Free-tier users’ claims are capped at £50.

9. Termination

You may cancel your subscription at any time from your billing page. We may terminate or suspend your account if you materially breach these terms and fail to remedy that breach within 14 days of a written notice from us, or immediately for serious breaches (fraud, illegality, security threats).

On termination, you may export your data for up to 30 days. After that, accounts and Customer Data are deleted in line with the retention schedule in our privacy policy.

10. Changes to these terms

We may update these terms occasionally. Material changes will be announced by email and inside the app at least 14 days before they take effect. Continued use after that date is your acceptance of the new terms.

11. Governing law & jurisdiction

These terms are governed by the laws of England & Wales. Any dispute will be subject to the exclusive jurisdiction of the courts of England & Wales.
